ADVOCATE REGISTRATION
People who are active advocates and are employed by a NGO. Advocates will need to be signed off by the committee upon completing the registration process. REGISTRATION CONDITIONS

Early bird registrations that remain unpaid at the beginning of conference (Sunday 11 November 2018) will be automatically increased to the standard registration rate.

CREDIT CARD PAYMENTS

Please be advised our payment service provider Centium Software, is PCI DSS Level 1 compliant. This means, your card holder data is protected to the highest possible levels, from data entry into our online registration sites, through to payment into the banks.

A merchant fee of 3% will be added to your total should you choose to pay your registration/accommodation via credit card.

CANCELLATION POLICY

Should you be unable to attend once you have registered, you may reassign your registration to another person. Please note you must advise the Conference Secretariat by email to rachel@hardingconsultants.co.nz

Registration cancellations will not be accepted unless made in writing. Cancellations made on or before Friday 5 October, will be refunded less 30% to cover administration costs. Please note that all cancellation fees are payable irrespective of whether the invoice for registration has been paid or not at the time of cancellation. No refunds or credits will be given after Friday 5 October 2018.

If, for reasons beyond the control of Trafinz and the conference organisers (Harding Consultants), the conference is cancelled, the registration fee will be refunded after the deduction of expenses already incurred.

INSURANCE

Registration fees do not include insurance of any kind. It is strongly recommended that all delegates take out their own travel insurance (with extended cover for personal possessions) and medical insurance prior to the conference. The policy should include loss of fees through cancellation of your participation in the conference itself, loss of airfares for any reason, medical expenses, theft or damage to belongings and repatriation should travel arrangements have to be altered. In the event of industrial disruptions or natural disasters the conference organisers cannot accept responsibility for any financial or other losses incurred by delegates. Nor can the organisers take responsibility for injury or damage to property or persons occurring during the conference or associated activities. Insurance is the responsibility of the individual delegate.

Trafinz and the conference organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, Trafinz and the conference organisers do not accept responsibility for loss of monies caused by delays and/or cancellation.

• Accommodation bookings will be made as requested during the registration process. If amendments or cancellations are not advised to Harding Consultants by Friday 5 October 2018 the hotel will charge a cancellation fee. This includes any no-shows.

Accommodation guarantee

Should you wish to pay upon check out of the hotel, your credit card will be used to GUARANTEE the accommodation booking. Cancellations within 30 days will incur a cancellation fee equivalent to the full cost of accommodation. In the event of 'no show' or cancellation (as above) your credit card will be charged for any costs.

You should pay the hotel directly for all costs on departure.

Booked accommodation must be guaranteed with either a credit card number or full payment. Should you guarantee your accommodation via credit card, please be advised our payment service provider Centium Software, is PCI DSS Level 1 compliant. This means, your card holder data is protected to the highest possible levels, from data entry into our online registration sites, through to payment into the banks. If you cancel your accommodation after Friday 5 October 2018, you will be charged a cancellation fee levied by the hotel. Please advise Harding Consultants rachel@hardingconsultants.co.nz of any change to a reservation, rather than contacting the hotel directly.

The Trafinz 2018 conference (Trafinz 2018) may include physical activities which involve personal danger. In consideration of being permitted to take part in conference activities, the undersigned for his/herself, his/her personal representatives, heirs and next of kin (together referred to as the "Delegate") hereby gives the following acknowledgement, waiver and release from liability in favour of Trafinz 2018, Trafinz, conference organisers (Harding Consultants), officers, agents, contractors, and employees.

Please read this acknowledgement, waiver and release from liability carefully before finalising your online registration.

I understand that participating in Trafinz 2018 may involve travel on public and private roads and outdoor and/or physical activities including walking and cycling. The hazards include, but are not limited to, walking, cycling, car, bus, actions of other participants or the general public, weather conditions and my physical and mental state of health. In my judgement, I am fit and well enough to participate in the conference safely.

I note that any physical activity, such as walking or cycling, that I opt to take part in, will be outlined to me in detail at a later date and may require a separate form.

I agree to abide by the rules of the conference providers and to the extent allowed by law, release Trafinz 2018, Trafinz,  the conference organisers and sponsors from any liability to me or my/their successors, and I agree to participate at my own risk.

I agree to the use of any photos, videos or digital footage being used for the promotion of Trafinz conferences.

Credit card payments

⁠PCI DSS is a comprehensive set of requirements created by the Payment Card Industry Security Standards Council for enhancing cardholder data security and to ensure the safe handling and storage of sensitive customer credit card information / data. Direct Payment Solutions Group (trading as Payment Express Ltd) is a Level 1 Service Provider and is compliant to PCI DSS Version 3.2 standard.

A merchant fee of 3% will be added to your total should you choose to pay your registration/accommodation via credit card.

Please note that that the credit card payment will appear on your credit card statement as a transaction with Harding Consultants Ltd.
